Moving Mail In or Out

Quick instructions for importing legacy mail into SMTP Zen or exporting it elsewhere.

The IMAP Sync utility inside the Plan Manager handles both migrations into SMTP Zen and exports to another host. You do not need extra software - just the login for each mailbox involved.

Where to find it

  1. Open the Client Area and locate the subscription you want to manage.
  2. Click Plan Manager.
  3. In the Domains tab, use the header action IMAP Sync.

Before you start

  • Gather the remote server name, port, username, and password for every mailbox.
  • Make sure both ends have enough storage to hold the transfer.

Importing mail into SMTP Zen

  1. Choose Import when the IMAP Sync window opens.
  2. Input domain and mailbox that already exists on SMTP Zen.
  3. Enter the source server details and credentials.
  4. Start the job and leave the window open until you see the confirmation that it queued successfully.

You can close the modal after it is queued - the transfer keeps running in the background. Larger inboxes take longer; check back later to confirm status.

Exporting mail to another provider

  1. Choose Export inside the IMAP Sync window.
  2. Input the SMTP Zen mailbox you want to copy from.
  3. Enter the destination server’s hostname, port, username, and password.
  4. Launch the export job.

Exports are handy when you are consolidating accounts or giving a third party a full backup.

Monitoring and safety tips

  • Run only one import or export per subscription at a time to keep throughput predictable.
  • If you made a mistake, use the Cancel option for the specific job before starting a new one.
  • Keep backups for peace of mind; imports copy data but do not delete it from the source mailbox.

Using IMAP Sync keeps history intact so users see the same conversations no matter which provider they use.
